Most renewal conversations happen thirty days out, when the contract needs a signature and there is no time left to fix what has quietly gone wrong over the past year. By then the client has already half decided, and you are negotiating from behind. Start the conversation ninety days early and the question changes, from "will you sign" to "what do we want next year to look like." 

Ninety days also gives you runway to act on whatever the conversation surfaces. A problem raised thirty days out is a confession. The same problem raised ninety days out is a plan already in motion by the time the contract needs signing, and clients notice the difference. 

The workflow:

Step 1 - Pull the year's real story, not the highlight reel.

Feed your AI tool of choice the client's ticket history, any incidents, and any missed SLAs from the past year. Ask for a plain summary of what happened, good and bad, before you write a single word of the client-facing version.

Step 2 - Draft a forward-looking conversation starter, not a review.

Ask your AI tool to turn the summary into three questions about next year, not last year: what is changing in their business, what new risk that creates, and what they want to stop worrying about. Send these ahead of a call rather than a report to read alone.

Step 3 - Flag the renewal risk internally before you flag it externally.

Ask your AI tool to identify anything in the year's history that might make this client a flight risk (a missed SLA, an unresolved complaint, a slow response pattern) so your team walks into the conversation knowing what to address.
