Explaining a price change buried in a vendor's fine print

The scenario:

One of your vendors quietly raises their pricing, buried three pages into a renewal notice nobody reads closely. It flows through to the client's invoice as a line item increase, and the client's first assumption is that you raised your rate, not that a vendor did. Explaining a cost you did not set and cannot control, without sounding like you are dodging responsibility, is a skill worth practicing before it comes up. 

Clients remember how a cost increase was communicated far longer than they remember the actual amount. A clear, timely message about a vendor's decision protects the relationship in a way a defensive explanation buried in an invoice never will, especially once the client has already jumped to the wrong conclusion. 

The workflow:

Step 1 - Get ahead of the invoice, not behind it.

The moment you learn of a vendor increase, feed the details to your AI tool of choice. Ask for a short heads-up message the client receives before the new invoice does, not an explanation attached to a bill they've already questioned.
