You’re paying for tools your team stopped using

Your monthly tool spend keeps climbing. You added a tool for every problem.

Six months later, three of those tools overlap, two are barely used, and one was replaced by a feature in a tool you already had. Nobody noticed because nobody tracks adoption after purchase.

The scenario:

You want to audit your tool stack to identify waste, overlap, and consolidation opportunities.

The prompt:

You’re auditing your MSP tool stack.

Data: [paste your current tool list with monthly costs and user counts]

For each tool, evaluate:

  • Active users vs. licenced seats (utilisation rate)

  • Feature overlap with other tools in the stack

  • Last time the tool was essential to resolving a critical issue

  • Cost per active user per month

  • Whether the job could be done by a tool you already own

Produce a one-page recommendation: keep, consolidate, or cut.
Include projected annual savings.
