Your proposal has one reader who matters.

The scenario:

Your proposal is twelve pages of sensible detail, written for the IT manager who requested it. The IT manager is not the person who signs. 

The signer is a business owner or finance director who gives it ninety seconds. They read the first page, the price page, and whatever headline finds them in between. If those ninety seconds do not carry the business case, the deal stalls in “still reviewing”. 

Watch what happens after you send it. The IT manager forwards the PDF upward with one line of their own, and that line becomes your pitch. Give the signer a page they understand and the forward reads as a recommendation. Give them twelve technical pages and it reads as homework, and homework waits.

  • A one-page executive summary for the signer: the risk in business terms, the outcome, the cost of inaction, the price framed against the exposure 


  • A structure split: signer content in the first two pages, technical detail moved to an appendix the IT contact validates 


  • Three headline rewrites turning feature statements into outcome statements 


  • The pre-send check: five questions testing whether a non-technical signer gets the case in 90 seconds
