Answering "how do you secure your own tools?"
The proposal landed, the pricing worked, and then the prospect's IT lead sends one more email. Before they sign, how do you protect your own RMM, your PSA and the admin accounts you hold for every client? If an attacker gets into your tools, they get into everyone.
Most MSPs answer with a paragraph about best practice and a promise to send a policy later, often one that doesn't exist yet. The prospect reads that as a no, even when the controls are in place. A clear, specific page answers it before they ask, and moves the deal faster than a discount.
Gather first: the controls on your RMM, PSA, vault and remote access tools, including who holds admin.
The prompt:
A prospect's IT lead wants to know how we protect our own tools before they sign. Help me write a one-page answer that is specific, honest about the gaps, and moves the deal forward.
What experienced MSP security leads know:
The question behind the question is "if you get breached, do we get breached?" The RMM, the PSA, the password vault and remote access are the tools that answer it.
Specifics win this conversation. "Phishing-resistant MFA on every admin login, reviewed monthly" lands. "We follow best practice" reads as a no.
Admitting one gap with a date builds more trust than a perfect page, because the IT lead will find the gap anyway.
Our tools: [RMM, PSA, password vault, remote access, documentation platform]
The controls on each: [MFA type, logging, who holds admin, how access is reviewed]
Audits, certifications or insurance we hold: [details]
Known gaps and planned fixes: [details]
Do this:
Write one short paragraph per tool explaining how it is protected, in language a client IT lead trusts.
Add a short "What we are still improving" section listing each open gap with a target date.
Close with an offer of a 20-minute call with our technical lead, and draft the two-line email that sends the page.
Use only the controls I have listed. If a tool has no controls listed, flag it instead of describing typical controls.
